How to use the Time Card Calculator

  1. Enter start and end times for each day you worked; leave days off blank.
  2. Add unpaid break minutes (for example a 30-minute lunch).
  3. Set your hourly rate and overtime rule โ€” the federal FLSA standard is 1.5ร— pay after 40 hours a week.
  4. Read total hours in hours-and-minutes and decimal format, plus gross pay.

How it works

For each day: worked minutes = end โˆ’ start โˆ’ break. Shifts that pass midnight are handled by adding 24 hours when the end time is earlier than the start.

Pay = regular hours ร— rate + overtime hours ร— rate ร— 1.5

Payroll systems usually record time in decimal hours: 7 hours 45 minutes is 7.75 hours.

Frequently asked questions

How do I convert minutes to decimal hours?

Divide the minutes by 60. For example 15 minutes = 0.25 hours, 30 minutes = 0.5 hours and 45 minutes = 0.75 hours.

When does overtime start?

Under the federal Fair Labor Standards Act, non-exempt employees earn at least 1.5ร— their regular rate for hours over 40 in a workweek. Some states, such as California, also require daily overtime.

Are lunch breaks paid?

Federal law does not require paying for bona fide meal breaks of 30 minutes or more when you are fully relieved of duty. Short rest breaks of 5โ€“20 minutes are generally paid.
